Key Responsibilities:
Government Compliance & Permits
- Assist process government permits, business licenses, and all regulatory compliance requirements.
- Monitor and ensure timely renewal of business permits and certificates.
- Coordinate with LGUs, BIR, and other government agencies for filings and store-related compliance matters.
Contract & Document Management
- Gatekeep and organize the filing of all contracts and agreements.
- Serve as the central point of contact for all administrative documents.
- Collate, file, and maintain store and office documents, including compliance reports and records.
Procurement & Supplies Management
- Support procurement tasks such as sourcing quotations and coordinating with vendors.
- Oversee office supply inventory and initiate replenishment to ensure adequate stock.
- Assist in preparing purchase orders (POs) and processing payments or reimbursements when required.
Administrative Operations & Office Coordination
- Provide daily administrative support including office coordination, communication handling, and logistics assistance.
- Handle general office matters such as pantry supplies, maintenance, and office electronics.
- Coordinate with the necessary teams to ensure compliance with POS Permit-To-Use requirements for the stores.
Internal & External Coordination
- Work closely with internal teams to support administrative requirements.
- Coordinate with external partners such as vendors, malls, and government offices to complete tasks on schedule.
Facilities & Safety Support
- Assist in coordinating store or office repair needs and securing required documentation for contractors.
- Support safety compliance by monitoring requirements and other regulatory obligations.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or any related field
- At least 5 years of experience in administrative, operations, or compliance roles (retail experience is a must)
- Knowledge of government permits, business licenses, and regulatory compliance processes
- Strong document management skills, including filing, organizing, and handling contracts
- Experience in procurement, vendor coordination, or basic purchasing tasks
- Proficient in MS Office, Google Workspace, or similar tools
- Strong attention to detail and ability to manage multiple tasks
- Excellent communication and coordination skills
- Proactive, reliable, and able to work in a fast-paced environment
- Willing to visit government offices, malls, or store sites as needed
