Job Summary
We are seeking an Admin Officer based in Cebu City to provide back-office business support for our companies. This role involves assisting various department managers with administrative, HR, procurement, and coordination tasks to ensure smooth day-to-day operations across our companies.
Responsibilities
Administration:
- Perform administrative activities day-to-day administrative tasks such as maintaining information files and processing paperwork.
- Provide basic bookkeeping support,
- Process staff claims.
- Screening phone calls, inquiries, and requests, and handling them when appropriate.
- Prepare and edit correspondence, reports, presentations, and other documents.
Human Resources
- Assist with recruitment coordination and interview scheduling.
- Manage recruitment queries.
- Coordinate interview arrangements.
- Process and manage employees payroll.
- Respond to employees complaints and grievances.
- Maintain employees employment records.
- Explain and update employees on the company's policies, updates, and changes.
Procurement
- Manage purchases of equipment and supplies.
- Ensure procured items meet the required quality standards and specifications provided.
- Maintain positive relationships with suppliers.
- Perform sourcing activities, bid evaluation, and vendor selection processes to identify cost-savings opportunities.
Experience & Requirements
- Diploma or Degree in Business Administration, Human Resources, Office Management, Accounting, or a related field
- At least 12 years of relevant administrative or back-office experience preferred.
- Fresh graduates are welcome to apply.
- Remuneration will be adjusted according to experience.
- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with online collaboration tools.
- Excellent command of spoken and written English.
- Able to support multiple demands independently and meticulously.
- Strong organisational skills to handle a large amount of paperwork.
- Ability to work on your own initiative in a dynamic environment.
- Able to cope well in a dynamic, fast-paced, and challenging work environment.
- Excellent time management skills and ability to multitask and prioritise work efficiently.
- Meticulous attention to detail and results-oriented.
Work Arrangement
- Full work-from-office role based in Cebu City.
- Working hours are Monday to Friday, 9:00 AM to 6:00 PM (GMT +8).
- This role observes the Singapore workweek and Singapore public holiday calendar.
- HMO coverage provided from Day 1, including up to 2 dependents.
