Job Description

We're looking for an ambitious, proactive, and organized Admin Executive to join our team Manila, Philippines.

This entry-level role is specifically designed for a fresh graduate looking to kickstart their career in corporate administration and human resources. Your primary focus will be supporting the local team with day-to-day coordination, culture initiatives, and essential administrative tasks.

Additionally, you will have the unique opportunity to gain international exposure by providing basic administrative support to our broader Southeast Asia (SEA) regional teams. If you are a reliable self-starter eager to learn regional business operations, this role is for you.

What You'll Be Doing:

As our Admin Executive, your day-to-day responsibilities will focus on local execution while assisting with regional tasks:

Team Logistics & Office Coordination

  • Asset Tracking: Coordinate logistics for IT hardware, including managing laptop deliveries and retrievals for team members.
  • Workspace Management: Scout, book, and coordinate co-working spaces and hubs for team meetups.
  • Regional Admin Assistance: Support senior management with minor regional administrative tasks for the Southeast Asia (SEA) offices, such as sorting digital correspondence or updating regional vendor lists.

Culture Activation & Events

  • Employee Engagement: Source, procure, and arrange milestone celebrations, including birthday cakes, corporate gifts, and team meals.
  • Holiday Initiatives: Provide critical logistical and coordination support for upcoming holiday events across core operations and the Sales teams.

General HR & Procurement Support

  • Procurement Liaison: Assist with processing client gift purchases on behalf of leadership utilizing approved company funding and expensing protocols.
  • Perform other job-related duties and ad hoc projects as assigned by management

Your Qualifications

  • Education: A recent graduate holding a Bachelor's Degree in Human Resources, Psychology, Business Administration, or a closely related field.
  • Experience: Fresh graduates are highly encouraged to apply. Prior internship experience in an office environment is an advantage.
  • Interpersonal Traits: A highly personable individual with an engaging personality. You should be approachable, energetic, and capable of creating positive experiences for internal employees, leaders, and external vendors alike.
  • Language Proficiency: Excellent communication skills with a strong command of the English language (both written and verbal) are required to collaborate effectively with local and regional team members.
  • Technical Skills: Knowledgeable in Microsoft Office tools is a must.
  • Preferred Tools: Familiarity or experience with Google Workspace (Google Docs, Sheets, Slides, Drive, and Gmail) is a strong plus.
  • Mindset: Highly organized, dependable, and comfortable balancing online administrative tasks with local coordination errands.
