Job Description
The
Administrative Associate provides effective, timely, and efficient administrative, logistical, and clerical support to the Farm Division of Pilmico Animal Nutrition Corporation. The role ensures smooth day-to-day operations through organized documentation, facility upkeep, logistical coordination, and compliance with company policies and farm protocols.
Key Responsibilities
Administrative & Logistics Support
- Provide administrative and logistical assistance to all farm departments.
- Arrange accommodation and transportation for employees, visitors, suppliers, and guests.
Documentation & Monitoring
- Maintain and organize admin-related documents, records, and filing systems.
- Log and track incoming and outgoing documents across departments.
- Process liquidations, billings, and invoices.
- Assist in monitoring diesel consumption of Farm Hub buildings, generators, and vehicles.
- Ensure admin supplies are monitored and replenished regularly.
Facility, Property & Vehicle Support
- Ensure cleanliness, sanitation, and maintenance of all meeting rooms, restrooms, downtime facilities, pantry, and other farm admin areas.
- Assist in vehicle monitoring, including maintenance schedules, repair needs, and documentation.
- Ensure all facility checklists and inspection logs are consistently updated.
Biosecurity, Housekeeping & Quality Support
- Provide downtime biosecurity clothing (PPEs) and other essential items to visitors and guests undergoing the biosecurity downtime process in the designated biosecurity facility.
- Coordinate with the SHE/Environment Team for garbage collection and waste management.
- Support continuous improvement of facility quality, cleanliness, and biosecurity compliance.
Compliance & Other Functions
- Comply with company policies, farm rules, biosecurity standards, and safety protocols.
- Assist in documenting and reporting policy violations or concerns.
- Perform other tasks needed to support overall farm operations.
Food Safety Responsibilities
- Follow company's food safety, quality, and health standards.
- Report any issues related to food safety and quality management systems to the appropriate authorities.
Qualifications
- Experience in administration, logistics, or facility support is an advantage.
- Strong organizational and documentation skills.
- Ability to coordinate across multiple departments.
