We are seeking a curious, proactive, and detail-oriented Junior Admin Assistant to support our Group Project Management Office (PMO) function. Working closely with the Group PMO Lead and operating 100% remotely during daytime business hours, you will manage project coordination, maintain Jira tracking tools, prepare meeting agendas, capture decision logs, and follow up with cross-functional stakeholders to keep organizational projects moving forward seamlessly.
Your Impact
- PMO & Project Coordination: Support the Group PMO Lead across multiple initiatives, assist with the initial triage of new project requests, coordinate forums/working groups, and follow up on outstanding deliverables.
- Jira & Project Data Management: Maintain accurate, up-to-date task records in Jira, record key project decisions and milestones, close completed items, and track dependencies across the portfolio.
- Administration & Reporting: Prepare project status reports, maintain central PMO registers, draft meeting materials, record minutes, and proactively follow up on action items before delays occur.
- Stakeholder Support & Communication: Build reliable working relationships across different teams, communicate project updates clearly, and escalate risks or bottlenecks to leadership when necessary.
What You Bring
- The Experience:1 to 3 years of experience in project coordination, project administration, business analysis, operations, or a related administrative role.
- Software Competency: Familiarity with project management platforms (Jira experience is advantageous, though training will be provided) and strong proficiency in Microsoft Office / Microsoft 365.
- Project Acumen: Understanding of basic project life cycles, action-item tracking, meeting facilitation, and turning complex discussions into structured project documentation.
- Core Competencies: Exceptional attention to detail, strong problem-solving and critical-thinking capabilities, proactive ownership mindset, and outstanding written and verbal English communication.
