Job Summary
The Procurement and Administrative Assistant will support procurement operations, contract management, supplier coordination, and administrative tasks. This role ensures efficient processing of purchasing requests, proper documentation, and smooth coordination with internal teams and vendors while maintaining compliance with company procedures.
Key Responsibilities
Contract Management
- Create and process Outline Agreements, including creation, extension, and amendments.
- Maintain and monitor contract documentation to ensure audit compliance.
- Coordinate notarization and courier arrangements for contracts.
Vendor Onboarding
- Support Indirect Procurement requirements including Logistics, Marketing, and Business Services.
- Coordinate vendor onboarding for direct procurement materials such as raw and packaging materials.
- Ensure accurate documentation, stakeholder alignment, and timely approvals.
- Coordinate with suppliers to resolve procurement-related concerns and provide updates.
Administrative Support
- Process purchase requests for car services, meeting rooms, visa-related expenses, and other ad hoc needs.
- Monitor office supplies and arrange replenishment.
- Assist with event coordination, including food, materials, and logistics.
- Handle printing requests and calling card processing.
- Provide general administrative support as needed.
Payment Coordination & Resolution
- Assist in resolving supplier invoice discrepancies by validating procurement records and contract details.
- Coordinate with Finance, Procurement, and vendors to resolve payment-related concerns.
- Monitor issue resolution timelines and provide status updates to stakeholders.
- Maintain documentation to ensure audit readiness.
Qualifications
Education
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field preferred.
Experience
- At least 23 years of experience in procurement, administration, or contract coordination.
Technical Skills
- Experience with procurement platforms such as Coupa or SAP is preferred.
- Proficient in Microsoft Office applications.
