JOB SUMMARY:
We are seeking a skilled and proactive Admin and HR Officer to supervise our office administration department and provide support in key HR functions. The role is weighted towards administrative responsibilities, including managing office fixed assets and facilities, supervising on-site staff, handling procurement and inventory, overseeing service delivery, and ensuring smooth day-to-day office operations. The remaining focuses on HR support, such as managing work visas and permits, assisting offshore employees, and coordinating employee engagement activities.
DUTIES AND RESPONSIBILITIES:
Administrative Responsibilities (60%):
- Provide oversight for the Admin team.
- Manage procurement of office supplies, services, and equipment.
- Supervise inventory management, asset tracking systems, and overall resource management.
- Oversee on-site staff including security, housekeeping, and utilities personnel.
- Handle contracts and negotiations with vendors and service providers.
- Act as the Point of Contact (POC) for the upcoming office move, coordinating all logistics, vendors, and timelines.
- Maintain a clean, efficient, and safe working environment.
- Support internal meeting logistics, events, and guest coordination.
- Coordinate schedules of drivers and ensure vehicles are well maintained
- Organize travels and trips for staff, including bookings and logistics
- Process insurance and other compliance-related documents for company assets and operations
- Monitor office security in coordination with the Cybersecurity Head
- Maintain a clean, efficient, and safe working environment
- Perform other administrative functions as may be required from time to time
Human Resources Responsibilities (40%):
- Oversee the application and renewal of employee work visas and permits.
- Assist in planning and executing employee engagement activities and events.
- Ensure HR documentation and compliance are up-to-date and audit ready.
- Provide support in onboarding, offboarding, and maintaining employee records.
- Assist with ad-hoc HR tasks as required by the HR Director.
JOB COMPETENCIES:
- Bachelor's degree in business administration, Human Resources, or related field.
- Minimum of 5 years of professional experience, with at least 3 years in a supervisory or team lead role.
- Strong leadership, problem-solving, and decision-making skills.
- Excellent organizational and multitasking ability.
- Strong interpersonal and communication skills.
- High attention to detail and accountability.
- Proficient in Microsoft Office Suite and general office tools.
