Job Description

Job Summary:

The Admin and Facilities Manager will oversee the efficient operation of administrative services and facility management for iOPEX Philippines. This role ensures that the workplace is safe, functional, and conducive to productivity, while also managing vendor relationships, compliance, and cost-effective operations.

Key Responsibilities:
Facilities Management
  • Oversee day-to-day operations of office facilities, ensuring cleanliness, safety, and functionality.
  • Manage space planning, office layout, and seating arrangements in coordination with HR and Operations.
  • Supervise maintenance, repairs, and upgrades of office infrastructure and equipment.
Administrative Operations
  • Lead the administration team in managing office supplies, mailroom services, reception, and pantry operations.
  • Implement and maintain administrative policies and procedures.
  • Coordinate company events, meetings, and logistics support.
Vendor and Contract Management
  • Source, evaluate, and manage third-party vendors for services such as security, housekeeping, and maintenance.
  • Negotiate contracts and ensure service level agreements (SLAs) are met.
Compliance and Safety
  • Ensure compliance with local government regulations, building codes, and safety standards.
  • Lead emergency preparedness and business continuity planning.
  • Conduct regular safety audits and risk assessments.
Budget and Cost Control
  • Prepare and manage the annual budget for facilities and administrative operations.
  • Monitor expenses and identify cost-saving opportunities.
Team Leadership
  • Supervise and mentor a team of administrative and facilities staff.
  • Foster a culture of service excellence and continuous improvement.
Qualifications:
  • Bachelor's degree in Business Administration, Facilities Management, or related field.
  • Minimum 5 years of experience in facilities and administrative management, preferably in a BPO or tech environment.
  • Strong leadership, organizational, and communication skills.
  • Proficiency in vendor management, budgeting, and compliance.
  • Knowledge of occupational health and safety standards.
