Your Role

You will help maintain accurate financial records, follow up on outstanding customer balances, resolve invoice queries, and provide regular reporting to the onshore finance team.

Specifically, You Will

  • Manage overdue customer accounts across four business entities through professional phone and email follow-ups, following established collection schedules and escalation procedures.
  • Process incoming customer payments and allocate them accurately against outstanding invoices.
  • Prepare and send customer account statements while maintaining updated accounts receivable records and collection notes in the ICE system.
  • Monitor overdue accounts and escalate unresolved cases to the onshore Office Manager or CFO for decisions regarding payment arrangements, credit holds, or external collections.
  • Investigate customer invoice queries and disputes by reviewing job and equipment history in ICE, resolving straightforward concerns and escalating matters requiring credit notes, pricing adjustments, or debt write-offs for approval.
  • Identify and allocate unreferenced or unmatched customer payments to the appropriate invoices to maintain accurate accounts receivable records and ageing reports.
  • Monitor accounts approaching credit hold thresholds and notify the relevant branch or service manager in advance.
  • Prepare weekly aged receivables reports covering 30-, 60-, and 90-plus-day outstanding balances across all four entities.
  • Provide monthly summaries of collection activities, follow-ups, and payment outcomes to the onshore Office Manager and CFO.
  • Perform daily bank reconciliations for one bank account per entity, covering four entities in total, using ICE.
  • Conduct monthly credit card reconciliations using consolidated statements for each branch across all four branches.
  • Ensure all collection activities and financial transactions are properly documented and follow established approval procedures.

What You Need

Non-negotiables

  • At least 1–2 years of experience in accounts administration, finance, data processing, or a related role.
  • Understanding of accounts receivable processes, debt collection, credit control, and payment allocation.
  • Familiarity with bank and credit card reconciliation processes.
  • Intermediate to advanced Microsoft Office skills, particularly Microsoft Excel and Outlook.
  • Ability to learn and navigate ERP, accounting, or job management systems; experience with similar platforms is an advantage.
  • Strong written and spoken English, with the ability to communicate professionally with customers through email and phone calls.
  • Confidence in conducting courteous but assertive debt collection follow-ups while maintaining positive customer relationships.
  • Excellent numerical accuracy, attention to detail, and organizational skills.
  • Ability to work independently, manage competing priorities, and follow established processes and escalation procedures.

Preferred Skills/expertise

  • Previous experience in accounts receivable, debt collection, or credit control.
  • Experience using job or accounts management systems, particularly ICE or similar ERP platforms.
  • Background in service-based industries such as IT, printing, trades, or related businesses.
  • Experience handling outstanding customer accounts and conducting professional collection calls.
  • Strong problem-solving skills and a methodical approach to investigating payment discrepancies and invoice disputes.
