Your Role

We are seeking an experienced and proactive Accounts Payable Supervisor to lead our AP operations. The ideal candidate must possess an advanced understanding of general accounting principles and expert-level proficiency in MS Excel. You will be responsible for leading a team, driving process improvements, and ensuring that strict weekly, monthly, and quarterly deadlines are met with precision. Strong organizational, communication, and leadership skills are essential to succeed in this role.

Key Responsibilities

• Team Leadership & Oversight: Manage, train, and support AP staff, fostering a positive, supportive work environment and maintaining a team-oriented mindset to achieve collective goals. Serve as the primary resource and subject-matter expert for escalated AP issues.
• Invoice & Workflow Management: Oversee the team's review, verification, and processing of high-volume invoices across multiple brands to ensure accurate and timely execution in accordance with company policies. Ensure the accurate entry and matching of invoices with purchase orders (POs) and receipts within Coupa and NetSuite.
• Payment Processing Approvals: Review and approve weekly, biweekly, or monthly payment runs, which include checks, ACH, and wire transfers. Ensure all payments strictly comply with vendor terms and internal company policies.
• Vendor & Stakeholder Relations: Act as the highest point of contact for complex vendor inquiries, ensuring prompt and professional resolution of unresolved discrepancies or outstanding balances. Partner closely with procurement, finance, and business stakeholders to resolve issues and share crucial business insights.
• Month-End Close & Reconciliation: Lead the AP month-end close process, ensuring all AP transactions and high-volume credit card transactions are recorded and reconciled accurately.
• Compliance & Record Keeping: Ensure organizational compliance regarding 1099 reporting and sales tax regulations. Ensure the team maintains highly accurate and organized records of all invoices, payments, and correspondence.
• Process Improvement: Proactively identify and execute opportunities to streamline the AP process, boost efficiency, and enhance overall accuracy across the department. Lead ad hoc projects and adapt team workflows to shifting priorities when necessary.
  
  

Requirements

• Experience: 5+ years of progressive experience in full cycle accounts payable, including managing high-volume invoice processing, with at least 2 years in a leadership or supervisory capacity.
• Technical Knowledge: Strong, advanced understanding of AP workflows, internal controls, expense coding, and 3-way matching.
• Systems Proficiency: Expert proficiency in AP and accounting systems, specifically NetSuite, Salesforce, and Coupa.
• Software Skills: Advanced MS Excel skills, including proficiency in building vLOOKUPs and Pivot Tables.
• Soft Skills: Excellent problem-solving skills, impeccable attention to detail, and the ability to resolve discrepancies efficiently. Must possess strong time management skills to prioritize tasks effectively under pressure and the flexibility to adapt to new processes.
