Job Summary:

The Accounting Associate/Accounts Payable Specialist is responsible for the accurate and timely processing of vendor invoices, expense reimbursements, and disbursements. The role ensures compliance with internal controls, supports financial record integrity, and maintains strong vendor relationships.

Responsibilities:

• Review, code, and process vendor invoices, ensuring accurate 3-way matching.
• Process employee expense reimbursements in compliance with company policies.
• Manage weekly payments via ACH, wire transfers, and virtual cards.
• Reconcile vendor statements and resolve payment discrepancies.
• Maintain vendor records, including W-9s, banking details, and tax information.
• Manage AP inbox and vendor portal inquiries.
• Support month-end/year-end closing, including accruals and reconciliations.
• Prepare and file 1099 tax forms and support internal/external audits.
• Assist with AP automation, process improvements, and efficiency initiatives.
• Maintain confidentiality of financial and sensitive company information.

Qualifications and Requirements:

• Bachelor's degree in Accounting, Finance, or related field.
• Minimum of two (2) years Accounts Payable experience.
• Must have experience in U.S. based accounting processes.
• Must have experience in any ERP systems.
• Experience in healthcare or multi-entity environments preferred.
