The Qualifications We Seek
Essential
- Minimum of 3 years of experience in an accounts payable or full-function accounting role
- Finance or accounting qualification
- Strong working knowledge of Xero, including automated invoice capture and coding
- Experience with Australian supplier invoicing and GST treatment
- Strong attention to detail and sound judgment when identifying and escalating exceptions
- Disciplined approach to payment controls, including supplier verification procedures
- Clear and professional written and verbal communication skills for supplier-facing matters
Desirable
- Experience with Airwallex or similar payment platforms
- Experience in a professional services or project-based business
- Demonstrated commitment to ongoing professional development
Your Daily Tasks
Accounts Payable Processing
- Review and resolve exceptions from automated invoice capture and coding in Xero, ensuring supplier bills are coded to the correct accounts and divisions
- Review and verify supplier contracts, including payment terms
- Establish and maintain supplier records by collecting and validating Australian Business Numbers (ABNs), bank details, and insurance certificates
- Verify changes to supplier bank details by telephone with a known contact before updating supplier records
- Create and manage purchase orders with suppliers as required
- Manage the accounts payable email inbox and respond to supplier queries regarding invoices and payment status
- Prepare supplier payment runs for review by the Finance Manager and approval by the Chief Financial Officer
- Process and reconcile approved payments, including Airwallex transactions, credit card payments, and expense claims
- Follow up with employees regarding outstanding supplier invoices, receipts, and expense documentation to ensure bills are accurately captured and coded in the correct period
- Manage prepayments and accruals as required
- Manage travel expense reconciliations
Reconciliation and Reporting
- Perform bank and balance sheet reconciliations related to accounts payable
- Provide accounts payable reports to the Finance Manager, including expected payment obligations for cash flow forecasting
- Maintain accurate, audit-ready records of all accounts payable transactions
- Provide supporting documentation for external audit and tax requests
Continuity and Improvement
- Support the Finance Administrator responsible for accounts receivable as required
- Document accounts payable procedures to ensure continuity of service
- Identify and recommend opportunities to improve accounts payable processes, including further automation where appropriate
