As the Accounts Admin Assistant, you will play a key role as an organized, proactive, and service-focused team member responsible for day-to-day administrative and coordination support to our Account Management team.
You will work closely with internal team, clients and staff, suppliers, and other external stakeholders to ensure requests are actioned accurately and on time.

What You'll Do
- Provide day-to-day administrative and coordination support to the team, helping Account Managers manage client requests and priorities efficiently.
- Coordinate and track client and employee requests, ensuring actions are completed accurately, on time, and with appropriate follow-up.
- Arrange client and employee gifts, flowers, gift bags, cheques, certificates, and other items for milestones, celebrations, recognition, and special occasions.
- Liaise with internal teams, suppliers, couriers, venues, and other external providers to coordinate account-related requests and services.
- Assist with preparing and maintaining account documentation, reports, presentations, spreadsheets, trackers, and other administrative materials.
- Support account meetings and activities, including scheduling, preparation of materials, minute-taking, and follow-up actions where required.
- Assist with purchasing, quotations, invoices, receipts, and expense documentation relating to client and account administration.
- Provide general administrative and ad hoc support to the Account Management team while identifying opportunities to improve processes and make account administration more efficient.
Key Criteria
- At least 4 - 5 years of experience in executive assistance, administration, coordination, account support or a similar role.
- Strong organizational and time-management skills, with the ability to manage multiple requests and deadlines.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills, with confidence communicating with external clients, internal teams, and external suppliers.
- Proactive and resourceful, with a strong sense of ownership and follow-through.
- Strong customer-service mindset and ability to handle requests professionally and promptly.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to work independently while collaborating effectively with a busy Account Management team.
Work Setup: Manila
- (BGC, Taguig): Fully onsite during probation, then shifting to 3x a week onsite & 2x Work-From-Home upon regularization.
