What you will be doing

The primary function of this role will be to supervise the Trust and Payroll Accounting teams located in Manila, Philippines, ensuring the accurate and timely reporting, processing, and reconciliation of payroll and trust-related activities. Supervisors will be responsible for managing the day-to-day operations of the team, resolving discrepancies, and maintaining effective communication with US managers to ensure alignment and efficiency.

Main responsibilities:

  • Supervise a team of associates on the Trust and Payroll Accounting Team, ensuring smooth daily operations
  • Assist in training, developing, and motivating team members to enhance their skills and ensure adherence to departmental goals and standards
  • Support the team in handling daily tasks and act as a point of escalation for any challenges or issues
  • Assist in the recruitment process, including interviewing candidates and supporting the selection of new team members
  • Conduct performance evaluations, provide feedback, and create development plans to ensure team members meet departmental goals and standards
  • Oversee timely payments recording of trust fund transactions and help ensure compliance with Collective Bargaining Agreements (CBA) and other applicable regulations
  • Assist in the preparation and reconciliation of trust accounts, ensuring that discrepancies are resolved in a timely manner
  • Act as a point of contact for trust accounting inquiries, providing support and addressing concerns promptly
  • Ensure that proper documentation is maintained for all trust transactions to meet compliance requirements
  • Oversee bookings for payroll-related activities, including health & welfare and benefits accruals.
  • Assist in ensuring all payroll and trust-related reports are prepared on time, meeting internal and external deadlines.
  • Help coordinate the preparation of reports required for third-party audits, ensuring the accuracy and compliance of data.
  • Assist in managing the development and maintenance of regular financial reports, queries, and system-generated data to support ongoing customer needs
  • Collaborate with departments such as HR, Finance, and Labor to ensure reports meet the necessary compliance and regulatory standards
  • Identify opportunities to improve the efficiency and accuracy of payroll and trust accounting processes
  • Assist with internal and external audits related to payroll and trust accounting, ensuring that all necessary documentation and records are available
  • Provide updates and reports to US managers on the progress and performance of the Manila team
  • Collaborate closely with US managers to align Manila operations with overall departmental goals and strategies
  • Participate in regular meetings with US managers to review performance, address concerns, and plan for future activities
  • Support US managers in executing new initiatives and driving projects within the Manila unit, while identifying and recommending process enhancements to improve efficiency and service delivery.

What we are searching for:

  • Bachelor's degree in business, Accounting, or related field. Additional certifications (e.g., CPA) or advanced coursework (e.g., MBA) are a plus
  • Two or more years of experience in a lead or supervisory role preferred with a focus on team support and guidance
  • Experience in Trust and Payroll accounting functions operations is highly desirable
  • Working knowledge of payroll and accounting software, such as Oracle/PeopleSoft Payroll and Oracle Financials, to support team operations
  • Strong understanding of GAAP with practical experience of applying it to trust and payroll accounting related tasks (preferred, if no Accounting degree)
  • Strong organizational and analytical skills with the ability to prioritize work and meet deadlines
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other office software; experience with databases and financial reporting tools is a plus
  • Strong interpersonal and communication skills, with the ability to effectively collaborate with team members and stakeholders
  • Excellent communication skills, both oral and written, with English proficiency
  • Ability to motivate and support team members while fostering a positive and productive work environment
  • Possess a high degree of initiative with the ability to work with minimal supervision
  • Detail-oriented
  • Honest and trustworthy, exhibiting sound business ethics
