US ACCOUNTING SPECIALIST

Location: Clark
Shift: 9:00PM - 6:00AM (Monday-Friday) PHT
Work Arrangement: Onsite

ABOUT THE ROLE:

Performs core accounting and operational finance functions including accounts payable, accounts receivable, inventory tracking, general ledger support, cash management, and reconciliations. Supports accurate financial reporting through invoice processing, inventory controls, PO matching, and vendor/customer communication. Assists with audit support and maintains strong working relationships with customers, vendors, and internal stakeholders.

KEY RESPONSIBILITIES:

  • Processes vendor invoices in accordance with payment terms and ensures all negotiated contracts are paid accurately and on time.
  • Performs three-way matching of purchase orders, invoices, and packing slips to ensure accuracy and proper authorization prior to payment.
  • Supports inventory tracking and reconciliation, including coordination with purchasing, receiving, and accounting records.
  • Assists with purchase order creation, monitoring, and closure as needed.
  • Orders and manages office and operational supplies, monitors inventory levels, and coordinates reorders to ensure uninterrupted operations.
  • Serves as a point of contact for accounting-related vendors, including contract review, billing inquiries, and issue resolution.
  • Communicates with customers to request payment, arrange payment plans, collect payments, and update customer accounts in the system.
  • Creates and maintains supporting schedules for general ledger accounts.
  • Performs cash management activities including initiating and recording wires, ACH payments, and transfers, as well as reconciling cash accounts.
  • Codes invoices, sets up new vendor and customer accounts, reconciles accounts, and supports monthly close activities.
  • Prepares reports related to accounts payable, accounts receivable, inventory, and cash activity as required.
  • Provides audit support as needed, including preparation of schedules, documentation, and responses to internal and external audit requests.
  • Investigates and resolves discrepancies related to payments, inventory, or procurement practices.
  • Performs other duties as assigned by manager.

QUALIFICATIONS:

  • Bachelor's degree in Accounting, Business, or related field required;
  • 1-3 years of accounting or finance experience
  • Prior experience in accounts payable, accounts receivable, inventory accounting, or audit support preferred

Required Skills / Abilities

  • Proficient in Microsoft Office, particularly Excel
  • Experience using accounting software; QuickBooks experience preferred
  • Working knowledge of accounting principles, practices, and internal controls
  • Strong attention to detail with the ability to manage multiple priorities independently
  • Ability to perform reconciliations and identify discrepancies efficiently
  • Excellent communication, collaboration, and relationship-building skills
  • Comfortable working with vendors, customers, auditors, and cross-functional internal teams
