About the role
We look after the personal financial affairs of a business owner — a small group of holding entities, some real estate, an investment portfolio, and household finances. The Personal Accountant oversees all of it, but on a part-time basis, which means there's more day-to-day work than one person can comfortably carry.
That's where you come in. As Accounting Associate, you'll handle the everyday running of the books: keeping records current, preparing the compliance filings, reconciling accounts, and making sure everything is properly documented and on time.
You'll be preparing the work; the Personal Accountant reviews and approves. Tax positions and anything that calls for a judgment call stay with him. What's yours is making sure the groundwork underneath is accurate, complete, and ready when it needs to be.
It's a good fit for someone with two to four years of accounting experience who'd like broader exposure than a single-company role tends to offer, and who's comfortable handling confidential information with care.
Duties and Responsibilities, but not limited to the following:
Bookkeeping and records
- Keeping the books for several entities and personal accounts up to date in QuickBooks Online (or similar) — posting as you go rather than catching up at month-end.
- Monthly bank, credit card, and account reconciliations, with a summary of any open items for review.
- Maintaining the supporting schedules: prepaids, accruals, depreciation, loan amortization, and intercompany balances.
- Preparing draft monthly financial statements for each entity.
Compliance preparation
- Drafting BIR returns and their supporting schedules for review — 1601-C, 0619-E/F, 1601-EQ/FQ, 2550Q, 2551Q, QSLSP, 1702Q, QSAWT, and the annual returns.
- Putting together the year-end requirements: alphalists, SLSP, QAP/SAWT, and collating and issuing BIR Form 2307.
- Keeping the compliance calendar and giving the Personal Accountant plenty of runway — ideally ten working days before each deadline, with the draft ready to go.
- Preparing the paperwork for SEC filings (AFS, GIS), LGU business permit renewals, barangay clearances, and real property tax.
- Preparing SSS, PhilHealth, and Pag-IBIG remittances for employees and household staff.
- Gathering supporting documents whenever BIR queries come up.
Investment and asset records
- Maintaining the investment register: holdings, cost basis, dividends, interest, corporate actions, and distributions.
- Reconciling broker, bank, and fund statements each month and flagging anything that doesn't tie out.
- Looking after the document file — share certificates, deeds, titles, loan agreements, corporate records — with a clear index, so anything can be found quickly when it's needed.
Personal expense administration
- Reconciling and categorizing personal credit card and account activity each month.
- Preparing the monthly personal expense report and budget summary.
- Preparing household payables for approval — staff payroll, utilities, insurance, subscriptions, tuition, medical, travel, etc. — with the supporting documents attached.
- Keeping personal and corporate expenses properly separated, and flagging anything that sits in between rather than deciding how to treat it yourself.
- Tracking insurance policies and renewal dates.
Payments and collections
- Preparing cheques and payment instructions with the supporting documents attached, ready for signature.
- Maintaining the cheque register and keeping unused cheque booklets under proper custody.
- Monitoring receivables across the entities — rental income, dividends, interest, loan repayments, and reimbursements — and keeping an aged listing that's genuinely current.
- Following up on overdue accounts: sending statements and reminders, calling tenants and counterparties, and escalating anything that's been outstanding too long.
- Issuing official receipts, recording collections promptly, and preparing deposit slips.
- Reconciling collections to bank credits each week, so nothing sits unaccounted for.
Coordination
- Dealing with banks, brokers, auditors, corporate secretaries, and government offices on routine matters.
- Handling BIR, SEC, and LGU submissions and follow-ups.
What we're looking for
Essential
- Bachelor's degree in Accountancy or a related field.
- 2–4 years in general accounting or bookkeeping, including hands-on preparation of BIR returns.
- Familiarity with eFPS/eBIRForms and the forms listed above.
- Comfortable with a cloud accounting system (QuickBooks Online, Xero, or similar).
- Solid Excel — pivot tables, lookups, reconciliations.
- A genuinely careful eye. This role lives or dies on whether the numbers are right and the deadlines are met.
Nice to have
- CPA license, or working towards it. Not required — and if you're still studying, we'll support review and examination leave.
- Experience across more than one entity.
- Any exposure to SEC filings, LGU permits, or SSS/PhilHealth/Pag-IBIG.
- Experience with accounts receivable and collections follow-up, particularly rental or lease income.
- Previous work in a family business or owner-managed setting.
