Role Overview
We are seeking a client-focused Accountant/Bookkeeper to provide reliable, high-quality
accounting support while serving as a trusted financial partner to our clients. This role is
responsible for maintaining accurate financial records, managing day-to-day accounting
activities, and delivering clear financial insights to support informed business decisions. The
position requires regular communication with clients and collaboration during Pacific Standard
Time (PST) business hours.
Scope of Services & Responsibilities
Accounting & Record Maintenance
● Maintain accurate, complete, and up-to-date accounting records using cloud-based
accounting platforms such as QuickBooks, Xero, Salesforce, and related systems.
● Review, categorize, and post all bank and financial transactions, proactively
communicating with clients to clarify and properly classify ambiguous transactions.
● Record monthly adjusting entries, including accruals and deferrals, in accordance with
applicable accounting standards.
Reconciliations and; Financial Integrity
● Perform monthly reconciliations of bank accounts, credit cards, and loan accounts to
ensure accuracy and reliability of financial reporting.
● Maintain a detailed Fixed Asset Schedule, ensuring proper asset tracking and
depreciation.
●Inventory Accounting
● Record and reconcile inventory-related entries. From recognition of inventory assets to
recording of COGS once sold.
● Reconciliation of ending inventory balance and value against physical assets.
● Identify variances and analyze root cause for variance resolution.
Accounts Receivable & Payable Support
● Assist with accounts receivable activities, including invoicing, applying customer
payments, and supporting collection efforts for overdue balances.
● Manage accounts payable processes, including recording vendor bills, processing
supplier payments, and maintaining professional and responsive communication with
vendors.
Payroll & Transaction Accuracy
● Ensure payroll transactions are accurately recorded and reflected in the financial
statements.
Financial Analysis & Advisory Support
● Provide support and insights related to Cost of Goods Sold (COGS) calculations and
inventory management.
● Prepare and review monthly financial reports, including Profit & Loss statements,
Balance Sheets, and Accounts Receivable aging reports.
● Participate in monthly financial review meetings with clients to explain financial results,
highlight trends, and provide actionable recommendations.
Technology & Process Optimization
● Integrate and manage accounting-related applications such as Bill.com, Gusto,
QuickBooks Payroll, Shopify, Square, Stripe, PayPal, TOAST, Xtrachef, and Marketman
with the primary accounting system.
● Continuously evaluate and streamline accounting workflows to improve efficiency,
accuracy, and scalability for clients.
Client Engagement & Work Schedule
● Serve as a primary accounting contact for assigned clients, ensuring timely responses
and clear communication.
● Collaborate with clients and internal teams during Pacific Standard Time (PST)
business hours to support meetings, reviews, and ongoing accounting needs.
Qualifications
● Proven experience as an Accountant or Bookkeeper in a client-facing or professional
services environment.
● Strong understanding of accounting principles, financial reporting, and month-end close
processes.
● Hands-on experience with QuickBooks, Xero, and integrated accounting applications.
● Excellent communication skills with the ability to explain financial information clearly to
non-financial stakeholders.
● Strong attention to detail, organizational skills, and ability to manage multiple client
engagements.
Preferred Credentials
● Must be a Certified Public Accountant (CPA).
● Experience supporting small to mid-sized businesses across multiple industries relevant
