We are seeking a 3PL Operations Coordinator to fully own and manage the third-party logistics receiving process for all bulk swag projects. This role is critical to ensuring products flow smoothly from suppliers into our 3PL warehouse — from creating ASNs and ARNs to resolving receiving discrepancies. Beyond day-to-day execution, this person will be expected to identify inefficiencies and drive continuous improvements to our inbound logistics workflows. The ideal candidate will have strong Shopify experience, excellent attention to detail, and the ability to quickly pick up new tools and systems.
This role is fully remote and works on Eastern Standard Time (EST). Night shift comfort is a must, not a maybe.
Key Responsibilities
- ASN & ARN Management: Create and manage Advance Shipment Notices (ASNs) and Advance Receiving Notices (ARNs) for all inbound shipments across BulkSwag projects.
- 3PL Receiving Oversight: Own the full end-to-end 3PL receiving process — tracking inbound shipments, confirming receipt, and resolving discrepancies.
- Supplier & Carrier Coordination: Liaise with suppliers and freight carriers to ensure timely and accurate deliveries to the 3PL warehouse.
- Shopify Inventory Management: Manage inventory receiving and product data in Shopify, ensuring accuracy across all systems.
- Issue Resolution: Proactively identify and resolve receiving issues such as shortages, overages, damaged goods, or mislabeled shipments.
- Process Improvement: Identify bottlenecks and inefficiencies in the receiving workflow, propose and implement solutions, and continuously refine SOPs and tooling as the business scales.
- Documentation & SOPs: Develop and maintain detailed Standard Operating Procedures for all 3PL-related processes.
- Reporting & Analytics: Generate reports on receiving timelines, discrepancy rates, and inbound logistics performance, offering actionable insights for improvement.
- Collaboration: Work cross-functionally with operations, sales, and customer success teams to ensure seamless fulfillment.
Qualifications:
- Attention to Detail: Demonstrated ability to spot errors and inconsistencies in shipping documentation and inventory data.
- Shopify Expertise: Proven experience working within Shopify; familiarity with 3rd-party Shopify apps is a plus.
- 3PL / Logistics Experience: Experience with 3PL operations, warehouse coordination, or supply chain logistics is highly preferred.
- WMS Familiarity: Experience with warehouse management systems (ShipBob, ShipHero, Flexport, or similar) is a strong asset.
- Spreadsheet Proficiency: Strong skills in Excel and/or Google Sheets for tracking shipments, reconciling quantities, and managing data.
- Shipping Documentation Knowledge: Comfortable working with BOLs, packing slips, commercial invoices, and other freight paperwork.
- Freight & Shipping Fundamentals: Understanding of LTL vs FTL shipping, carrier tracking, and basic freight coordination.
- SKU Management: Ability to maintain clean, consistent product data between Shopify and 3PL systems.
- Process-Oriented Thinker: Not just someone who follows a process — someone who questions it, finds the gaps, and makes it better.
- Quick Learner: Comfortable picking up new tools, platforms, and systems rapidly.
- Communication Skills: Strong written and verbal English language skills to effectively coordinate with suppliers, carriers, and internal teams.
- Time Management: Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Problem-Solving Mindset: Capable of quickly diagnosing issues and implementing solutions to avoid disruptions in the receiving process.
