Job Overview

Employment Type: Full-time
Work Setup: Onsite in Makati for the first six months to establish strong executive partnerships, with the opportunity to transition to a hybrid work setup thereafter.
Salary: Earn up to PHP95,000 + 1-month salary sign-on bonus

The Qualifications We Seek

At least 7 years of experienceas an Administration Support Specialist with experience in centralized administrative and financial transacting.
Experience managing workflows and leading people, with responsibility for approximately 10 direct reports.
Demonstrated ability to balance operational delivery, team leadership, and stakeholder management in a fast-paced, service-driven environment.
Demonstrated proficiency across the Microsoft 365 suite is essential, including Outlook, Teams, Word, Excel, and SharePoint
Working familiarity with Power BI reporting, dashboards, or data visualisation is advantageous
Working familiarity with Microsoft Copilot or similar AI-enabled productivity tools is advantageous

Your Daily Tasks

Business Support Leadership

Provide end-to-end business support for senior stakeholders and complex activities, ensuring efficient delivery and consistently high standards.
Act as the senior specialist for complex, time-critical, or high-volume processes, tracking actions, dependencies, and risks while resolving or escalating issues promptly.

Workflow & Operational Excellence

Coordinate and prioritize work across Business Support Specialists and Executive Support teams to maintain clear ownership, smooth workflows, and timely completion.
Apply and reinforce agreed standards, processes, and controls to maintain service quality and operational discipline.

Team Leadership

Support the Business Support Lead by embedding consistent ways of working and providing day-to-day guidance to Business Support Specialists.

Role Competencies

Business Support Operations - Handle complex requests while exercising sound judgment in triage, prioritization, and SLA risk management.
Output Quality & Governance - Sequence work effectively, manage dependencies, remove blockers, and ensure accurate, efficient outputs with proper version control.
Strategic Partnership & Coaching - Serve as the first point of escalation, coach team members, resolve issues, and collaborate closely with Executive Support Services.
Stakeholder Partnership - Build trusted relationships across Executive Support, Office Support, and service lines while ensuring requests are routed appropriately.
Performance & Dashboard Support - Monitor SLA performance and service volumes while leveraging dashboards and AI to identify issues and improve operational efficiency.
