Position Overview

We are seeking a proactive and detail-oriented Assistant Project Manager to join our dynamic team. This position is ideal for someone with strong organizational skills, a hands-on mindset, and a passion for helping projects run smoothly from planning through completion.

Job Overview

The Assistant Project Manager supports a variety of mechanical and plumbing installation projects from initial planning through final delivery. This role works cross-functionally with operations, sales, subcontractors, suppliers, utilities, and accounting to ensure project timelines, budgets, and compliance requirements are met.

Key Responsibilities

Project Administration

Organize and maintain project folders, ensuring all key project documentation is complete and up to date.
Manage employee time tracking and hours, including collecting timesheets, maintaining labor records by employee and project, and providing sign-in sheets to Accounting.
Maintain project tracking spreadsheets with current status updates and next steps.
Coordinate weekly scheduling and job assignments.

Finance & Procurement

Process change orders and purchase orders.
Review and submit supplier invoices.
Track project invoicing status and provide daily and weekly invoicing updates to Accounting.
Assist with procuring equipment and subcontracted services while ensuring contract requirements are met.
Monitor inventory levels and coordinate replenishment of stock as needed.

Compliance & Documentation

Assist with Department of Buildings (DOB) and utility documentation.
File utility cases and manage related communications.
Schedule inspections and submit rebate documentation.
Maintain subcontractor compliance records, including:

Certificates of Insurance (COIs)
Scope of work documents
Contact information
Executed subcontractor agreements

Communication & Coordination

Serve as a liaison between Sales, Subcontractors, Suppliers, Operations, and Accounting.
Utilize project management and communication platforms such as Slack, Asana, BuildOps, and other internal systems to track project updates and progress.

Qualifications & Skills

Minimum of 2 years of experience as an Executive Assistant, Project Coordinator, Assistant Project Manager, or a similar role managing complex projects and schedules.
Previous experience in the construction industry, particularly supporting or managing construction projects, is highly preferred.
Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
Strong verbal and written communication skills.
Proficiency in Microsoft Office (Excel and Word) and Google Workspace (Gmail, Calendar, Sheets, Drive).
Experience using project management and collaboration tools such as BuildOps, Slack, and/or Asana is highly preferred.
Bachelor's degree in Construction Management, Engineering, Mechanical Engineering, Project Management, or a related field is preferred.
