Qualifications

5+ years of Executive Assistant experience
Bachelor's degree or equivalent 4-year degree
Strong problem-solving and follow-up skills, with the ability to prioritize high volumes of tasks in a fast-paced environment
Excellent written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels
Experience in the financial services industry
Experience coordinating complex international travel arrangements, including visa processing
Strong proficiency in Concur and expense management systems
Highly organized, personable, and intuitive, with exceptional interpersonal skills
Ability to work standard New York City (EST) business hours regardless of location

Responsibilities

Support a small team of professionals with administrative and operational requirements
Coordinate a high volume of internal and external meetings and company calls across multiple time zones
Arrange domestic and international travel, including flights, accommodations, ground transportation, and visa requirements
Prepare detailed travel itineraries and meeting schedules
Process expense reports and invoices accurately and efficiently
Manage and maintain team calendars
Prepare, organize, and maintain materials for internal and external meetings using PowerPoint and the Microsoft Office Suite
Assist with ad hoc projects and special assignments as needed
Perform additional duties and responsibilities as assigned
