Help build the operational backbone of high-impact programs. We're hiring an Airtable Operations Specialist to support and scale multiple programs across startups, nonprofits, student organizations, and creator partnerships.

This is a hands-on operations role with a strong systems and automation focus. You won't just follow processes you'll help build them.

Compensation & Perks

Salary Range: Starts at ?75,000/month (Final offer based on skills and experience matched to role requirements)

What You'll Do

1) Application Review & Program Operations

Review and process high-volume applications across multiple programs using Airtable.
Research website legitimacy, validate eligibility, and update records based on defined criteria.
Context-switch across multiple workflows while maintaining accuracy and efficiency.

2) Automation & Systems Building

Build and maintain automated workflows using Airtable automations, Notion, Zapier, and other no-code/low-code tools.
Create custom lead capture forms, integrations, and automations for creator partnerships and new program launches.
Identify manual processes and propose scalable automation solutions.

3) Documentation & Process Improvement

Proactively identify gaps in documentation.
Create and update SOPs, process documentation, and internal workflows as systems evolve.
Partner with the Operations Lead to understand pain points and co-design improved operational systems.

4) CX & Ticket Support

Manage light Zendesk ticket volume and CX escalations (approximately 12 hours daily).
Collaborate with internal stakeholders through Slack and shared documentation.

What We're Looking For

2+ years of operations experience with heavy tool usage (Airtable, Zendesk, CRMs, or similar platforms).
Strong Airtable proficiency (fields, records, views, relationships, and automations).
Proven experience building or maintaining automated workflows or integrations.
Strong data management skills, including cleaning, organizing, and maintaining databases.
Systems thinker with a problem-solving mindset.
Experience creating and maintaining SOPs and documentation.
Comfortable managing multiple programs and shifting priorities.
Clear written communication skills for documentation and async collaboration.
Self-starter who proactively identifies undocumented processes and fills gaps.
Comfortable working in fast-paced, ambiguous environments.
Ability to work U.S. Pacific Time hours and attend regular video meetings.

Nice-to-Have

Prior experience using Notion.
Familiarity with APIs, integrations, or data manipulation.
Experience working with startups, accelerators, nonprofits, or ecosystem programs.
Use of AI tools (e.g., ChatGPT, Claude) for operations, documentation, or analysis.
CRM management or partner/lead-generation workflow experience.
