Job Overview

Our client is looking for a voice for their thriving event venue, helping ensure every potential booking receives a warm, professional, and memorable experience from the very first interaction. This role sits at the center of the customer journey, from answering inquiries about dream weddings and special events to following up with leads and helping convert interest into confirmed bookings. You'll work closely with the business owner to support daily operations, maintain organized systems, and create seamless client experiences that drive referrals and repeat business. This is a great opportunity for someone who is upbeat, high energy, highly organized, and genuinely enjoys speaking with people.

Schedule

  • Monday - Friday, 10:00 AM - 02:00 PM PST (20 work hours per week)

Responsibilities

  • Answer incoming phone calls and respond to customer inquiries during business hours
  • Follow up with warm wedding and event leads after venue tours and pricing discussions
  • Conduct outreach campaigns to reconnect with previous inquiries and encourage bookings
  • Provide exceptional customer service and guide clients through the booking process
  • Schedule consultations between qualified prospects and reservation specialists
  • Maintain accurate CRM records, update lead information, and organize client files
  • Assist with invoicing follow-ups, billing coordination, and administrative support tasks
  • Post and schedule pre-created social media content across multiple platforms
  • Manage bi-monthly newsletter distribution featuring upcoming events and planning tips
  • Support onboarding and coordination processes to ensure smooth client experiences
  • Create reports and help track lead activity, follow-ups, and booking progress

Requirements

  • Strong customer service experience with a warm, professional, and confident phone presence
  • Professional English communication skills
  • High energy, upbeat personality, and positive attitude when interacting with clients
  • Sales or lead conversion experience is highly preferred
  • Strong administrative background with excellent organization and follow through
  • Comfortable navigating platforms such as Microsoft Office Suite, Outlook, Microsoft Teams, Google Voice, CRM systems, and reporting tools
  • Ability to work independently in a remote work environment while maintaining responsiveness and consistency
  • Experience with social media scheduling tools is a plus
  • Detail-oriented with strong multitasking and time management skills
  • Interest or experience in the wedding, events, hospitality, or customer-facing industry is preferred
