About the Role
The Tenant Relations Manager is responsible for managing all tenant-related concerns and engagements after the formal handover from Leasing to Operations. The role ensures smooth tenant onboarding, sustained tenant satisfaction, lease compliance, and effective coordination between tenants and HRI's Operations, Engineering, and Property Management teams across all commercial projects.
Job Responsibilities
Post-Leasing Handover & Onboarding
- Manage the formal handover of tenants from Leasing to Operations after lease execution
- Ensure all lease documents, approved terms, and tenant requirements are properly endorsed
- Conduct tenant orientation, including house rules and operational guidelines before and after turnover
Tenant Relations & Engagement
- Serve as the primary point of contact for tenants post-handover
- Build and maintain strong relationships to ensure tenant satisfaction and retention
- Handle tenant inquiries, requests, and operational concerns
- Conduct regular meetings, coordination sessions, and engagement activities
- Support tenant events and promotions in coordination with Property Management
Lease Compliance & Monitoring
- Monitor tenant compliance with lease terms, house rules, and operational policies
- Coordinate with Legal, Leasing, and Finance on lease concerns, renewals, or violations
- Issue notices, reminders, and compliance communications
- Assist in enforcing penalties and corrective actions when necessary
Fit-Out, Turnover & Operations Coordination
- Coordinate tenant fit-out activities with Engineering, Safety, and Property Management teams
- Ensure compliance with approved plans, construction guidelines, and safety standards
- Facilitate unit turnover, punch listing, and operational readiness
- Monitor and resolve operational issues affecting tenants
Tenant Complaints & Issue Resolution
- Receive, document, and manage tenant complaints and service requests
- Coordinate corrective actions with internal teams (Housekeeping, Security, Engineering, Admin)
- Track resolution timelines and ensure closure within service standards
- Escalate critical or unresolved issues to Management
Reporting & Documentation
- Maintain updated tenant records, correspondence, and operational logs
- Prepare regular reports on tenant concerns, resolutions, and recurring issues
- Provide insights on tenant satisfaction, risks, and improvement opportunities
Coordination & Continuous Improvement
- Work closely with Leasing on renewals, expansions, and tenant mix strategies
- Provide feedback on tenant needs, market trends, and operational challenges
- Recommend improvements to tenant engagement processes and service delivery
Compliance, Risk & Standards
- Ensure tenant activities comply with company policies, safety standards, and regulations
- Support implementation of operational procedures related to tenant management
- Assist in managing risks related to tenant operations, safety, and service disruptions
Job Qualifications
- Bachelor's Degree in Engineering (Mechanical, Electrical, Civil), Architecture, Real Estate, or a related discipline
- Minimum of 6 years experience in occupier strategy, leasing, or business development within the real estate industry
- Licensed Real Estate Broker or Registered Architect/Engineer is required
- Demonstrated expertise in leasing platforms and property management systems
- Strong stakeholder management, negotiation, and relationship-building skills
- Highly organized with excellent coordination and problem-solving abilities
- Strategic thinker with a results-driven and solution-oriented mindset
