Job Overview

Be part of our client's team as a Supervisor, Vendor Operations Coordinator. In this leadership role, you will oversee the Vendor Operations team, provide coaching, mentor employees, and ensure all processes align with the company's goals. You'll also contribute directly to overall production while managing team performance and regulatory compliance.




Responsibilities

  • Serve as a coach and mentor to the Vendor Operations Team, holding formal supervisory authority.
  • Oversee employees progress, ensuring alignment with Ncontracts goals and service commitments.
  • Manage team members by assigning tasks, delegating responsibilities, setting goals, and coaching for performance improvement.
  • Provide consistent coaching, mentoring, and feedback to direct reports.
  • Conduct weekly 1:1 sessions to review performance with team members.
  • Write and deliver annual performance reviews for direct reports.
  • Use leadership principles to positively influence the team to achieve goals.
  • Onboard and train new team members, providing refresher training to current employees as needed.
  • Develop and maintain advanced knowledge of regulatory requirements for service provider oversight in financial institutions, including due diligence documentation and compliance monitoring.
  • Partner with Vendor Services Managers and Risk Analysts to define and meet client expectations related to vendor due diligence, executive summary production, and deadlines.
  • Balance supervisory tasks with contributing to production, spending approximately 70% of time on direct operational responsibilities.
  • Build, coordinate, and manage relationships with vendors that supply critical products and services to Ncontracts clients.
  • Oversee the collection, documentation, tracking, and delivery of due diligence information.
  • Monitor and ensure compliance with departmental and company objectives.
  • Communicate and collaborate with vendors via phone and email to meet service level agreements.

Requirements

Qualifications Needed

  • Strong knowledge of vendor management regulatory compliance requirements for financial institutions, including necessary documentation based on vendor criticality.
  • Proficiency in software and applications used for vendor due diligence documentation and delivery.
  • Ability to multitask and maintain organized, detailed documentation in a fast-paced environment.
  • Excellent communication skills, both oral and written.
  • Competence in developing, drafting, editing, and updating strategies, protocols, and procedures.
  • Collaborative mindset with the ability to maintain effective working relationships with team members and leadership.
  • Proven ability to meet deadlines, prioritize tasks, and effectively allocate resources and personnel.
  • Goal-oriented, with the ability to set and achieve objectives.
  • Continuous improvement mindset, identifying service enhancements.
  • Strong problem-solving skills and ability to escalate unresolved issues when necessary.

Education and Experience Requirements

  • Bachelor's degree in a related field (preferred).
  • At least three years of relevant work experience.
  • Experience in administrative and/or customer service roles (preferred).
  • Previous experience using Salesforce.com or similar CRM software.
