Position Overview
The Senior Manager / Head of Administration will oversee the company's administrative operations, ensuring the smooth management of office facilities, resources, and support services across all sites. This role requires strong leadership, strategic planning, and operational management skills to drive efficiency, compliance, and high service standards.
Key Responsibilities:
1. Administrative Management
Lead, recruit, train, and supervise the administrative team, setting clear performance expectations and providing coaching and evaluation.
Establish and implement administrative policies, standards, and best practices across the company.
2. Budget & Resource Management
Develop, monitor, and manage the annual administrative budget.
Oversee expense tracking and cost control measures.
Ensure timely procurement of office supplies, equipment, and administrative services.
3. VISA & Employee Support
Provide leadership to the Visa Support team to ensure proper documentation and compliance.
Ensure resources and guidance are available for smooth processing of employee work permits and visas.
4. Office & Site Operations
Ensure all offices and company sites are safe, well-maintained, and operational.
Oversee maintenance, security, utilities, and renovation projects.
Manage relationships with external vendors, contractors, and landlords.
5. Fleet Management
Supervise the company's vehicle fleet operations, including scheduling, maintenance, and compliance with safety standards.
Ensure cost efficiency and utilization optimization of company vehicles.
6. Workflow Optimization
Review and streamline administrative processes to maximize efficiency and productivity.
Recommend and implement technology solutions for process improvement.
7. External & Internal Relations
Build and maintain strong relationships with building administrators, service providers, and government agencies.
Collaborate with internal departments to ensure administrative support aligns with business needs.
8. Strategic Administrative Support
Provide long-term planning and strategic direction for administration.
Allocate resources effectively and adapt administrative functions to business and market changes.
Support overall organizational growth and sustainability through efficient administration
Qualifications:
Bachelor's degree in Business Administration, Management, or a related field (Master's degree preferred).
Minimum 810 years of experience in administrative management, with at least 5 years in a senior leadership role.
Strong knowledge of office management, facilities management, and vendor negotiations.
Experience managing budgets, procurement, and company fleets.
Familiarity with visa/work permit processes in the Philippines is an advantage.
Excellent leadership, communication, and problem-solving skills.
Strong strategic planning and project management abilities.
Ability to work effectively under pressure and handle multiple priorities
