Job Summary

The Sales Support Associate – Export Sales provides operational and administrative support to the export sales team to ensure smooth order processing, shipping coordination, and customer service for international clients. This role plays a key part in managing documentation, tracking shipments, coordinating with internal teams, and maintaining strong relationships with global customers.

Key Responsibilities

1. Order Processing & Coordination

  • Process export sales orders accurately and timely in the system
  • Coordinate with production, logistics, and warehouse teams to ensure on-time order fulfillment
  • Monitor order status and provide regular updates to the sales team and clients

2. Export Documentation

  • Prepare and review export documents such as commercial invoices, packing lists, certificates of origin, and shipping documents
  • Ensure compliance with international trade regulations and company policies
  • Coordinate with freight forwarders and customs brokers

3. Customer Support

  • Serve as a point of contact for international customers regarding order status, inquiries, and issues
  • Assist in handling client concerns, complaints, and after-sales support
  • Maintain strong customer relationships through responsive communication

4. Logistics & Shipment Tracking

  • Coordinate shipments and arrange bookings with freight forwarders
  • Track shipments and update stakeholders on delivery status
  • Resolve shipping delays or issues proactively

5. Sales & Administrative Support

  • Support the export sales team in preparing quotations, proposals, and reports
  • Maintain and update customer records, pricing, and sales data
  • Assist in sales forecasting and reporting

6. Compliance & Coordination

  • Ensure adherence to export regulations, documentation requirements, and company standards
  • Collaborate with finance for invoicing, payment tracking, and credit documentation
  • Support audits and compliance checks when needed

Qualifications

  • Bachelor's degree in Business Administration, International Trade, Logistics, or a related field
  • 1–3 years of experience in sales support, export operations, or logistics (preferred)
  • Knowledge of export documentation and international shipping processes is an advantage
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Experience with ERP or order management systems is a plus
