Receptionist - Administrative Services
Duty Timing will be shifting, depended on the requirements. Regular Duty is 8am to 5pm, M to F
What this job involves:
Prioritizing the facilities needs
Working with both the facilities manager and the assistant facilities manager, you'll oversee the facilities day-to-day operations and ensure that all soft services and finance related functions services are covered. Likewise, you'll strive for continuous improvement in the process.
You'll also keep an eye out on the facilities housekeeping supplies and ensure that it has adequate stocks and materials to keep the operations smooth to ensure client facilities operations are continuous. Likewise, you'll manage soft and hard services contracts as approved by clients. The Facilities Coordinator oversees several sites and their team of cleaners and cleaning tasks. He/she supervises the supervisor and team leaders of cleaners to carry out their work. He/she manages work schedule of cleaners and reallocates work to cover absences. He/she ensures all cleaning equipment is complete in accordance to the contract and is safe for use. He/she checks on the stock level of cleaning materials, chemical consumables and housekeeping equipment.
Part of your mandate is to monitor the property's budget, by ensuring that monthly controllable spends per approved annual budget are within approved allocations according to the expense accounts and ledgers. Likewise, you shall ensure that all non-controllable spends are issued client purchase orders (PO) prior start of work or supply of materials, equipment and other needs in compliance to No PO No Work policy. As the person in charge, you'll make sure that there's enough budget to support operations. You'll also see to it that vendor invoice processes comply with standards and vendors comply with the required management of their respective employees such as government mandated remittances on taxes, insurance contributions (i.e., SSS and Philhealth) and other similar requirements. Vendor performance is also within your responsibility in order to monitor the quality of their services to meet or better exceed the Service Level Agreement (SLA) and/or Key Performance Indicators (KPI) and/or Key Results Areas(KRA).
Going above and beyond expectations
Client satisfaction is second nature to the person in charge. In this role, you'll take on difficult issues and seek out opportunities to improve operations. You'll also be constantly in tune with the team to identify productivity savings to meet the required glide path cost savings according to the requirement of the contract. In addition, you'll carry out routine service audits to ensure that the team maintains its overall performance. You'll also create stock reports, meeting minutes and monthly management reports for the clients.

Strong knowledge of property operations on soft services and financial management
Playing a key role, the ideal candidate holds a degree in business or accounting management, and at least three to five years experience in facilities management. You must also demonstrate good working knowledge of cleaning chemicals, methods & occupational safety, as well as aptitude in client-centric operations.
Solid background in team management
