Job Description

Work Set-up: Work From Home
Work Schedule: Monday - Friday (10:00pm - 7:00am)
Salary Range: Php 35,000 - Php 50,000

Responsibilities:
  • Maintain a high level of professionalism with clients and staff.
  • Provide excellent customer service while working towards establishing a positive rapport with the client.
  • Answer and address all service calls in a timely manner.
  • Contribute as a team member, working to mitigate problems and issues.
  • Transcribe information into required electronic format.
  • Prepare, back-up, compile, update, and sort document data files into a prescribed computer database.
  • Comply with data integrity and security policies.
  • Assist Service Manager in resolving emergencies in a timely manner.
  • Oversee scheduling of service team and make recommendations to Service Manager for department needs.
  • Provide weekly progress updates to the Service Manager and client point of contact.
  • Obtain quotes from qualified subcontractors as necessary.
  • Participate in project kick-off meetings that include key participants from sales, engineering, fabrication, installation, and programming departments when needed.
  • Attend weekly or biweekly internal virtual CoitCom meetings.
  • Check completed work for accuracy.
  • Actively seek to improve department efficiency, reduce costs, and assist in improvement of product through customer experiences.
  • Tracks and provides accurate project status / milestones to Service Manager and or client point of contact.
  • Participate as needed in prescribed training curriculum.
  • Conducts or schedules product / system trainings for CoitCom Service Team members.
  • Responsible for determination of self-directed development and participate as needed in prescribed training curriculum.
  • May include after hours and on-call duties with guaranteed response times.
  • Other duties as required or assigned by company management.

Requirements:
  • Experience with managing timelines, and scope of multiple projects at once.
  • Exceptional tracking/documentation is needed for project tracking.
  • Strong communication and presentation skills to communicate status, risk, and proactive updates to internal stakeholders.
  • Advanced Excel: Importing/exporting, pivot tables, graphs, etc.
  • Needs to be extremely organized.
  • Excellent written and verbal communication skills.
  • Must be responsible, self-motivated, self-starter, personable and well-organized.
  • Understand AV system functionality and installation processes and techniques.
  • Ability to read and comprehend project technical and construction documents.
  • Proficient with Microsoft Office (Word, Excel, Outlook), Keynote, and Adobe Acrobat.
  • Self-starter capable of working independently and ensuring to meet deadlines.
  • Superior customer service skills to deal with both internal and external customers.
  • Ability to manage multiple tasks simultaneously.
  • Strong interpersonal skills: ability to work with diverse groups.
  • Ability to demonstrate planning, organizing, and implementing skills which allow the successful completion of a project by a specific due date..Must be able to effectively handle stressful situations.
  • Must be able to read and effectively interpret general business documentation.
  • 2+ years of experience in a project admin role is preferred.
  • Experience with managing timelines, and scope of multiple projects at once.
