RESPONSIBILITIES:
HR Administration
Provide a range of administrative and support services to meet the business needs of HR and General Services
Visa Process (downgrading, renewal, AEP, exit clearance,etc)
Government Agencies (Statutory requirements & Submission of Reports)
Invoice processing for payment (expat accomodation/schooling/lease & other related HR vendors)
Distribution of communications/office emails/Consortium communication to ensure proper flow of communication amongst employees
Receiving of signed Exit Clearance and other offboarding requiremetns from leavers (med cards/ID/signed exit clearance, etc)
Project Org. Chart & Other Client's request (no sensitive information required)
Support HR:Ensure local policies are available, distributed and available on project sharepoint (car, working hours, mobile phone, etc...)
Support Employee onboarding process
Organization of Company Social Events
Employee Mobile Plan Request and Issuance
Support expat on the processing of bank account requirements
Communication
Communications relay / support for Alstom Philippines
Attend and report to monthly meetings with EA Comms
Provide write ups for events, milestones and developments in the project
Support CSR Activities
Compliance
Support in Company Permit Renewals such as City and Baranggay Business Permit
Coordination with Baranggay and LGU for any other permitting requirements
Support in any Government Agency Permitting Requirements such as Fire, Environmental, DOE et al
Support for PR and government relations
Local EHS and Dole Permitting Requirements if required
Logistics
Flight and Booking Arrangment for Team and Clients
Review and Validate Travel and Hotel Invoices
Organize and Coordination with Hotel and Venue for Company Milestones and Events
Agenda Management for Incoming External Teams and Client Visits
DHL and Other Parcel Booking and Management
