As an Executive Assistant, your role will be to provide comprehensive administrative support to two executives and senior management within the organization. You will be responsible for ensuring smooth workflow and effective communication, as well as managing various tasks and projects. This position requires a high level of technical proficiency, strong organizational skills, and the ability to work in a fast-paced and dynamic environment.

Key Responsibilities:

  1. Administrative Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.
  2. Technical Expertise: Possess a strong technical background and understanding of relevant tools, software, and systems. Assist with technical tasks such as data analysis, preparing presentations, managing databases, and conducting research.
  3. Project Management: Take ownership of technical projects, ensuring they are executed efficiently and within deadlines. Coordinate with cross-functional teams, gather requirements, track progress, and provide regular updates to management.
  4. Communication and Coordination: Serve as a point of contact between executives and internal/external stakeholders. Facilitate effective communication, schedule meetings, prepare agendas, and take accurate meeting minutes.
  5. Documentation and Reporting: Maintain organized records, files, and documentation. Prepare reports, presentations, and other materials as required by executives.
  6. Information Management: Organize and manage sensitive and confidential information. Handle data security, data privacy, and compliance requirements in accordance with company policies.
  7. Efficiency Improvement: Identify opportunities for process improvement and suggest innovative solutions to streamline workflows, enhance productivity, and optimize resources.
  8. Professional Development: Stay updated with industry trends, advancements, and new technologies relevant to the role. Continuously enhance technical skills and knowledge to support executives effectively.

Qualifications


  • Bachelor's degree in a relevant field and equivalent work experience.
  • Proven experience as an executive assistant or similar role 3 -5 years
  • Strong technical proficiency and familiarity with various software applications, project management tools, data analysis tools, and office productivity suites.
  • Excellent organizational and multitasking abilities, with attention to detail.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally at all levels of the organization.
  • Proactive and resourceful problem-solving skills, with the ability to work independently and prioritize tasks effectively.
  • Strong time management skills and the ability to meet deadlines in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to adapt to changing priorities and work well under pressure.

Work Location: Permanent Homebased

Work Hours: US Time, Night shift
