Job Summary:
The Agency Events, Incentives and Communications Specialist executes and coordinates Agency communications, events, and incentive initiatives to support sales campaigns, operational advisories, and distributor engagement. The role ensures timely, accurate, and compliant delivery of communication materials and supports the planning and execution of Agency events and incentive trips in line with approved plans, budgets, and standards.
Job Description:
1. Executes approved communication activities for Agency sales campaigns and operational advisories by preparing, consolidating, and releasing communication materials that inform and engage distributors while adhering to brand, legal, data privacy, and company policy requirements
2. Produces and coordinates campaign announcements, collaterals, reminders, and advisories, ensuring delivery within agreed timelines and alignment with provided messaging and communication guidelines.
3. Administers and maintains official Agency communication platforms (e.g., designated email mailbox, SMT Viber group, Agency private FB group, SMS tools), and monitors content and usage to ensure compliance with governance standards
4. Coordinates with Sales Management and internal support units to gather inputs, cascade information, and support awareness and participation in ongoing campaigns and operational initiatives.
5. Coordinates and executes Agency events, programs, and incentive trips based on approved concepts and plans, supporting preparation, implementation, and post‑event activities to ensure timely and organized delivery.
6. Handles event and trip logistics, including timelines, vendor coordination, venue arrangements, travel and accommodation bookings, program flow documentation, and contingency requirements in coordination with internal teams and accredited vendors.
7. Supports on‑ground execution of events and incentive trips by managing assigned operational tasks, tracking activities against plans, and escalating issues as needed to ensure smooth execution and positive participant experience.
8.Prepares and consolidates event‑ and campaign‑related documentation, including proposals, schedules, budgets, contracts, and post‑event reports, and supports budget tracking and reconciliation against approved allocations.
Monitors campaign execution and budget utilization and provides regular status updates and documentation to immediate supervisor and relevant stakeholders. Coordinates post‑event and post‑campaign activities, including collection of participant feedback, consolidation of results, and documentation of learnings and improvement opportunities.
