Job Title: Accounts Receivable & Billing Specialist (US)
Work Schedule: 9pm to 6am Mondays-Fridays
Work Setup: Hybrid (1-2x a month)
What you'll be doing:
- Prepare and issue client sales invoices in accordance with each client's unique billing requirements, formats, and portals.
- Review freight bills for accuracy, reconcile against shipment records, and bill freight back to clients per the freight bill-back SOP.
- Generate and send account statements to clients on a regular cadence to support collection of outstanding receivables.
- Research and resolve routine billing discrepancies and customer inquiries; escalate complex issues to the Finance leadership team as needed.
- Post and apply customer payments and maintain accurate AR records in the accounting system.
- Maintain organized invoices, freight, and supporting documentation for audit readiness.
- Coordinate with Sales, Operations, and Customer Service to confirm billing details, shipment information, and freight charges.
- Monitor AR aging and flag past-due accounts to the Director of Finance for follow-up.
- Adhere to internal controls, company policies, and applicable financial regulations.
- Perform other related duties as assigned.
What will make you a great fit:
- Education: Relevant certification or degree in Accounting, Finance, or related field is preferred
- Years of Experience: 1–3 years of experience in accounts receivable, billing, or general accounting; experience with freight billing or bill-back is a plus.
- Industry Exposure: Manufacturing and distribution industry
- Technical Skills: Proficiency with Microsoft Excel (sorting, filtering, basic formulas, VLOOKUP/XLOOKUP/INDEXMATCH)
- Soft Skills: Strong written and verbal communication skills; Comfort working with client portals and submitting invoices via EDI or web-based platforms is a plus; Ability to manage recurring deadlines and a high volume of detailed transactions.
- Accounting System/ Software experience or knowledge: Experience with an ERP/accounting system (e.g., NetSuite, QuickBooks, SAP, or similar).
