Qualifications

Educational Background

Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, or related field.

Work experience required

At least 2-3 years of experience in Vendor Management, Workforce Management, Operations, Logistics, Procurement, or a related function.
Experience handling outsourced manpower providers and vendor performance monitoring is an advantage.
Experience in contract administration and compliance monitoring is preferred.

Roles and Responsibilities

· Vendor Operations Support

o Conduct engagement sessions with Operations teams to discuss issues, concerns, and opportunities raised by both parties.

o Perform daily monitoring of vendor performance and provide timely feedback or call-outs to vendors.

o Facilitate or participate in Focus Group Discussions (FGDs) and audits across logistics sites.

o Work with relevant departments in investigating operational and security concerns involving outsourced personnel.

o Conduct WFM training sessions for vendors.

o Support campaign preparations and workforce ramp-up programs.

· Vendor Performance Management

o Monitor disciplinary actions (DA) for workers with violations.

o Manage vendor headcount reallocations based on operational requirements.

o Consolidate and monitor blacklisted workers through the WFM system.

o Issue memorandums and penalties to vendors as required.

o Conduct business reviews with vendors and Business Units (BU).

· Vendor Compliance

o Monitor SO Certificates and Safety Pass requirements in coordination with the HSSE Team.

o Audit permits, certifications, and government contribution compliance documents.

o Review and assess agency recruitment processes.

· Workforce Management (WFM)

o Manage the WFM database and grant system access to Vendor Points of Contact (PIC).

o Configure and maintain holiday setups within the WFM system.

o Check and review WFM attendance approvals.

o Send daily communications to attendance and overtime approvers.

o Address workforce-related issues and concerns.

Support system enhancement initiatives and process improvements.

o Monitor and resolve vendor disputes within the prescribed 48-hour timeline.

· Billing and Contracts

o Support rate card administration and billing processes.

o Process vendor contract renewals.

o Coordinate with Procurement regarding contract addendums and amendments.
