About the Role

We are seeking a proactive and detail-oriented Investor Relations & Investment Specialist to support investor communications, investment administration, and client service activities for a U.S.-based investment organization.

The role will primarily focus on maintaining strong investor relationships, responding to investor inquiries, managing investor records and documents, supporting investment distributions, and assisting with subscription agreements and investor onboarding.

The ideal candidate has experience in investor relations, investments, financial services, or a related field, along with a strong understanding of accounting or bookkeeping. This position requires excellent written communication, organization, responsiveness, confidentiality, and the ability to work independently with minimal supervision.

The position is initially part-time, with a flexible four-hour schedule aligned with U.S. Pacific Time business hours. There may be an opportunity to transition to full-time employment based on performance and business needs.

Key Responsibilities

Manage and respond to investor inquiries primarily through email.
Maintain professional and timely communication with existing and prospective investors.
Support semiannual and annual investor distribution activities.
Prepare and distribute investor statements following distributions.
Prepare subscription agreements for new investor contributions.
Assist investors with online portal access and required documentation.
Track investment transactions, contributions, distributions, and related movements.
Maintain accurate investor records and documents within the investor management portal.
Monitor incoming investor communications and independently resolve routine inquiries.
Escalate complex or technical investor concerns to the appropriate client contact.
Conduct periodic investor outreach to understand questions, concerns, and potential investment interest.
Support quarterly investor communication initiatives.
Prepare and distribute investor newsletters, updates, and other communications.
Assist with occasional investment-related marketing activities.
Conduct research related to the organization and its investment products when needed.
Recommend improvements to investor records, workflows, organization, and administrative processes.
Maintain strict confidentiality when handling sensitive financial and investor information.

Qualifications

Experience in investor relations, investment operations, financial services, customer service, or a related field is preferred.
Accounting or bookkeeping knowledge is strongly required.
Strong written and verbal communication skills.
Excellent organizational and documentation skills.
Strong attention to detail when handling investor information and financial records.
Proficiency in Microsoft Excel and spreadsheet management is preferred.
Experience working with investment platforms, investor portals, or financial systems is an advantage.
Strong customer service and relationship management skills.
Highly responsive, proactive, and capable of working independently.
Ability to determine which investor concerns can be resolved independently and which require escalation.
Strong understanding of financial data confidentiality and information security.
Comfortable handling sensitive investor and financial information.
Ability to work a flexible part-time schedule aligned with U.S. Pacific Time business hours.
Willingness to work either 8:00 AM–12:00 PM Pacific Time or 1:00 PM–5:00 PM Pacific Time, depending on the confirmed client schedule.
Reliable computer, internet connection, and appropriate work-from-home setup if remote work is approved.
