Position: Purchasing and Operations

Number of hours: 20 hours/week

Key Responsibilities

Follow up with suppliers regarding production supplies, materials, requirements, and pending items.
Coordinate and monitor packing activities to ensure orders are prepared correctly and on schedule.
Follow up on shipments, deliveries, and expected delivery schedules.
Monitor outstanding orders and provide updates on shipment or production status.
Manage orders, purchasing details, and product information within the company system.
Ensure order details, product information, quantities, and statuses are accurately entered and updated.
Maintain accurate and organized records of orders, supplier communications, shipments, and operational activities.
Coordinate with suppliers regarding order changes, availability, production requirements, and delivery concerns.
Communicate with relevant internal teams regarding purchasing, logistics, inventory, and operational requirements.
Assist in identifying and following up on delayed, incomplete, or pending orders.
Support day-to-day purchasing and operations administrative tasks as required.
Ensure all relevant information is properly recorded and updated in Odoo CRM.
Provide timely updates regarding supplier, order, production, and shipment status.

Qualifications

Previous experience in Purchasing, Procurement, Operations, Supply Chain, Logistics, Order Management, or a similar role.
Hands-on experience with Odoo CRM is required.
Experience coordinating and communicating with suppliers or vendors.
Experience managing and monitoring purchase orders, production schedules, shipments, or deliveries.
Familiarity with order processing, product information management, and operational recordkeeping.
Strong organizational and administrative skills.
Excellent attention to detail and accuracy in maintaining records and updating order information.
Strong written and verbal English communication skills.
Ability to follow up proactively with suppliers and internal stakeholders.
Ability to manage multiple orders, suppliers, and deadlines simultaneously.
Strong coordination and problem-solving skills, particularly when handling delayed shipments or supplier-related concerns.
Comfortable working independently in a remote environment.
Proficient with common productivity tools such as Microsoft Office, Google Workspace, email, spreadsheets, and online communication platforms.
Reliable internet connection and suitable equipment for remote work.
Must be available during German business hours and willing to work on holidays when required.
