Our client is seeking a remote Safety Administrator to own the day-to-day administration of the company's safety, insurance, and risk program. The role builds and maintains the written safety program and training for the company's W-2 workforce, including Outside Sales Employees, canvassers, operations, and office staff, and administers OSHA recordkeeping, employee incident investigation, workers compensation support, and the certificate of insurance and subcontract documentation program. All installation work is performed by independent subcontractors, so this is an administrative and program-based role with no site visits or field supervision.

Responsibilities

Employee Safety Program

• Develop, maintain, and update the written safety program for the company's W-2 population, including but not limited to Outside Sales Employees, operations, canvassers, and office staff.

• Build and deliver remote safety training for employees, with specific attention Outside Sales Employees, Canvassers, and other W2 positions that operate on an operational level.

• Develop and maintain trainings and guidelines on but not limited to ladder safety, roof access, and fall hazards during sales inspections and measurements.

• Maintain emergency action plans, hazard communication, and heat illness materials for applicable locations and states.

• Administer OSHA 300, 300A, and 301 recordkeeping for employees, including annual posting and electronic submission where applicable.

• Manage training assignment, completion tracking, and recertification schedules.

• Conduct incident investigations for employee incidents, including root cause analysis, corrective action assignment, and closure verification.

• Assist with operational workers compensation claims and matters.

Subcontractor Contract and Insurance Administration

• Administer the certificate of insurance program, including general liability, workers compensation, and auto coverage verification, additional insured and waiver of subrogation endorsements, and expiration tracking.

• Maintain subcontractor documentation files, including licensing, W-9s, executed subcontract agreements, and required insurance.

• Maintain and update safety and insurance related contract language in subcontract agreements so obligations are established contractually.

• Verify that documentation is complete and current before a subcontractor is approved for work, and escalate lapses.

• Maintain records sufficient to demonstrate that subcontractor safety obligations are contractual and that the company does not direct or train subcontractor personnel.

Workers Compensation, Insurance, and Risk

• Administer the workers compensation program in partnership with Finance, including claim intake, carrier coordination, return to work tracking, reserve review, and experience modification monitoring.

• Support general liability and auto claims documentation and carrier reporting.

• Coordinate with brokers on renewals, premium audits, and loss control recommendations.

• Administer fleet and driver safety, including MVR review protocols, driver qualification files, and accident reporting for company drivers.

Recordkeeping and Reporting

• Maintain a centralized, audit ready documentation system covering employee training, incidents, corrective actions, claims, and subcontractor insurance and contract files.

• Manage retention schedules and prepare records for OSHA inspections, insurance audits, customer prequalification, and litigation holds.

• Track and interpret federal OSHA and state plan requirements across operating states, including Michigan, and update internal standards accordingly.

• Produce leadership reporting on incidents, claims, insurance compliance, and program gaps.

Classification Guardrails

• Understand the legal distinction between W-2 employees and 1099 independent contractors and keep all safety processes consistent with that distinction.

• Keep employee safety training, policy, and communication materials separate from subcontractor contract and insurance administration.

• Do not issue training, equipment, PPE, work direction, or corrective discipline to subcontractor personnel.

• Flag any proposed practice that would extend company direction or training to subcontractors and escalate to the Vice President of Compliance & Safety.

Requirements and Qualifications

• Minimum 3 years in safety, risk, or compliance administration.

• Working knowledge of OSHA and state plan variations.

• Demonstrated experience with OSHA recordkeeping and reporting obligations.

• Experience administering workers compensation claims and working with carriers and brokers.

• Experience with certificate of insurance management and contractor documentation compliance.

• Understanding of the distinction between W-2 and 1099 engagement and the ability to operate within it.

• Strong policy drafting and written communication skills.

• Proven ability to work fully remote across multiple states with minimal supervision.

This is a full time role

Rate is $8-9/hr depending on experience
