About Aqua Care Solar

Aqua Care Solar is a Colorado-based company serving the surrounding area, specializing in solar water heating, solar thermal heating, boilers, and solar PV for residential and commercial customers.

We are looking for an Office Operations Manager who solves problems on their own instead of waiting for instructions. This role is built for someone who wants to work hands-on with AI and automation, use their creative operational skills, and have real freedom to make things better. Your ideas will be heard, and you will get plenty of training and onboarding support to set you up for success.

In your day-to-day, you will:

Optimize operations by creating workflows, SOPs, and systems.
Answer customer phone calls.
Draft and send customer estimates.
Follow up on the sales pipeline.
Coordinate dispatch and scheduling for field crews.
Troubleshoot internal automations when they break, and improve them over time.
Support field operations day-to-day.
Manage field staff and hold them accountable to schedules and standards.
Draft and send invoices.
Assist with payroll.
Anticipate the needs of the business owner before being asked.
Create and present reports on business standing to the owner.
Provide executive assistant support.
Handle ad hoc tasks such as (but not limited to) website updates, social media management, research tasks, and tech troubleshooting.

Skills you have:

3+ years of experience working remotely.
Fluent spoken and written English, with the confidence to communicate professionally with customers, field staff, and the owner.
Previous experience creating systems and operational workflows.
A personable, warm phone presence.
Strong independent problem-solving skills — you figure things out and act without waiting to be told.
Genuine interest in AI tools and automation.
Exceptional organization and the ability to juggle phones, scheduling, invoicing, and projects without dropping balls.
A proactive approach with a strong sense of ownership.

Skills that will make you stand out:

Previous administrative or operational experience at a contracting, construction, or home service business.
Experience with automation tools such as n8n, Make, or Zapier.
Experience with GoHighLevel (GHL).
Experience with any field service management software (Housecall Pro, ServiceTitan, Jobber, etc.).
Experience using Claude or other AI tools.
Proficiency with Google Workspace and Google Sheets/Excel.
Experience with QuickBooks.
Bonus: experience running paid ads for contractors or home service businesses.
