Position Overview

We are looking for a highly organized and detail-oriented Executive Assistant / Bookkeeper to manage day-to-day bookkeeping responsibilities while providing administrative and executive support. The ideal candidate will have strong bookkeeping experience, be proficient in QuickBooks Online, and be comfortable managing financial records and daily office tasks.

Key ResponsibilitiesBookkeeping & Financial Administration

Manage day-to-day bookkeeping activities using QuickBooks Online.
Prepare and send customer invoices.
Enter and record payments accurately and promptly.
Perform daily and regular bank and account reconciliations.
Ensure all financial transactions are accurately recorded and up to date.
Monitor outstanding invoices and assist with accounts receivable follow-ups.
Maintain organized and accurate financial records.
Review transactions for discrepancies and ensure corrections are made promptly.
Assist with financial reports and bookkeeping-related tasks as required.
Ensure bookkeeping records and accounts remain current and accurate.

Executive & Office Support

Assist with daily administrative and office tasks.
Manage and organize documents, records, and correspondence.
Assist with scheduling, email management, and general coordination.
Support the executive with day-to-day administrative requirements.
Communicate with clients, vendors, and internal team members as required.
Help ensure daily office operations run smoothly and efficiently.
Take on additional administrative responsibilities as needed.

Requirements

Proven experience in bookkeeping and financial administration.
Strong hands-on experience with QuickBooks Online.
Experience with invoicing, payment entry, and reconciliations.
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Ability to keep financial records consistently up to date.
Good written and verbal communication skills.
Ability to work independently and manage multiple priorities.
Comfortable working remotely and collaborating with a U.S.-based team.
Proficiency in Microsoft Office and Google Workspace is an advantage.
