Your Role

As an Document Controller, you will:

Document Control & Quality Assurance: Maintain full control of project drawings, specifications, procedures, and work instructions in compliance with company policies and ISO standards.
Database Management & Organization: Index, record, and store incoming and outgoing technical documents in Electronic Document Management Systems (EDMS) to ensure accurate revision histories.
Transmittals & Information Distribution: Respond to requests for current documentation and dispatch approved transmittals to project managers, clients, and subcontractors.
Discrepancy Resolution & Corrective Actions: Identify documentation gaps or version errors, issue corrective action reports, and coordinate with authors to resolve discrepancies.
Stakeholder Support & Inquiry Handling: Field and resolve documentation inquiries from project staff, external clients, and sub-contractors regarding drawings or specification updates.
Cross-Functional Collaboration & Admin Support: Work alongside project delivery teams, assist peer Document Controllers, and provide general administrative support as required.

What You Need

Non-negotiables

Document Control Experience: Proven background in project document control, engineering drawing management, and transmittal processing.
ISO / Quality Assurance Literacy: Deep familiarity working under Quality Assurance procedures based on ISO 9001 standards and strict document governance.
Version Control & Archival Precision: Sharp attention to detail in tracking revisions, managing drawing registers, and maintaining audit-ready database records.
Technical Communication: Clear verbal and written communication skills to handle inquiries from clients, engineers, and subcontractors efficiently.
Database & Software Proficiency: Hands-on experience navigating Electronic Document Management Systems (EDMS) and specialized engineering document databases.

Preferred Skills/expertise

Practical experience with industry-standard Document Management software (e.g., Aconex, SharePoint, Procore, ProjectWise, or TeamBinder).
Background in construction, engineering, oil & gas, infrastructure, or heavy industrial projects.
Understanding of technical drawing conventions, title block standards, and CAD file format handling (e.g., DWG, PDF, BIM/Revit).
Experience conducting internal document control audits and implementing corrective action plans.
