Key Purpose

To provide comprehensive administrative support and assist in the valuation report writing process to increase team efficiency and deliver quality client service.

Key Dimensions

Financial Delegation

The position does not have a set financial delegation. The CMG JBS Director of Operations and/or Operations manager must approve all financial expenditures.

Key Internal Relationship

The CMG-JBS Business Support Analyst:

Reports to the Assigned Manager on daily issues/queries, identified risks or concerns, or if requiring assistance.
Interacts with the team to share knowledge and contribute to the continual improvement of the team.
Interacts and builds a high rapport with Brokers and the CMG Manager for Operations to achieve our vision and strategic goals.

Key External Relationship

Liaises with valuers regarding documentation or file clarification.
Contacts external parties as directed by the broker.

Key Accountabilities

PROVIDING SUPERIOR CLIENT SERVICE

Efficiently manages time to meet required timeframes and obligations for quality client service.
Appropriately and correctly uses all internal systems, processes, and policies.
All work is completed to the required standards, ensuring accuracy and compliance with relevant industry and client requirements.
At all times, ensure a client first attitude is displayed when undertaking the role, including the provision of high-quality service to internal and external client
Assisting clients and responding to client requests where appropriate and on time.
Ongoing monitoring and management of all internal systems through the entire workflow lifecycle.

DEVELOPMENT AND INNOVATION

Monitor performance against set KPIs and adjust work processes as required to meet KPIs.

OTHER

Other duties within safety and competency parameters, as directed by your assigned Manager, from time to time.
Conduct all activities using the Company's Quality management system.

Demonstrate initiative to assist others during quieter periods

Collaborate effectively with team members in both administrative and report writing tasks

Qualifications and Requirements

Skills

Proficient in Microsoft Office Suite
Strong written communication and report writing skills
High computer literacy and attention to detail
Excellent time management and customer service skills
Ability to communicate effectively with internal and external clients

Ability to work accurately under pressure and meet tight deadlines
Experience working in busy open-plan office environments
Proven ability to manage workflow effectively and prioritize tasks
Real estate background is an advantage
Strong analytical and research skills for report writing support
Reports are updated daily on various systems. Notes must be accurate and contain the complete and relevant action taken and the next steps required.
Monitor client systems and provide meaningful communication on requests.

Responsibilities of the role

We are looking for Senior Analyst - Business Support to support and assist the JLL Value & Risk practice presence across the Singapore region. This role focuses on preparing reports and data entries, as well as maintaining a high level of accuracy in daily operations.

Scope of Administrative Work

Update job status on all internal systems daily with accurate notes and next steps
Liaise with external parties, including valuers and clients, regarding documentation or file clarification
Maintain and update records and files in a timely manner
Ensure correct work processes are always followed

Report Writing Process

Prepare real estate valuation and consultancy reports under supervision
Conduct data research and gather relevant property information
Accurately input data into systems and databases for report preparation
Assist in drafting report sections and documentation
Work closely with valuers, internal and external clients to meet expectations
Review and format reports to meet internal and external industry standards
Support the preparation of accurate and quality valuation assignments within required timeframes

Qualifications and Skills

Experience

Minimum 2 years of experience in an administration role or similar property industry experience

Skills

Proficient in Microsoft Office Suite
Strong written communication and report writing skills
High computer literacy and attention to detail
Excellent time management and customer service skills
Ability to communicate effectively with internal and external clients
