Your Role

As an Executive Assistant / Chief of Operations, you will serve as a trusted partner to the Founder by providing executive support, operational coordination, and strategic project management across multiple businesses. You will help drive business priorities, optimize workflows, and ensure day-to-day operations run efficiently while maintaining the highest level of professionalism and confidentiality.

Specifically, You Will

Manage complex executive calendars, meetings, travel arrangements, and competing priorities across multiple businesses.
Conduct research and prepare presentations, briefing materials, reports, and business insights to support strategic decision-making.
Act as a Chief of Staff–style partner by tracking key initiatives, monitoring project progress, following up on action items, and ensuring deadlines are met.
Manage executive email correspondence, draft professional communications, and ensure timely responses and follow-through.
Support financial administration by assisting with budgeting, expense tracking, invoice management, and financial reporting.
Coordinate communication between internal teams, external partners, vendors, and executive stakeholders.
Support business operations across multiple industries, including healthcare, pharmacy, media, retail, and other business ventures.
Prepare executive presentations, investor decks, business proposals, and other high-impact business documents.
Identify opportunities to improve business processes, implement systems, and enhance operational efficiency.
Handle confidential and sensitive information with the highest level of integrity, discretion, and professionalism.

What You Need

Non-negotiables

Proven experience as an Executive Assistant, Chief of Staff, Operations Manager, Executive Operations Coordinator, or a similar executive support role.
Experience supporting founders, CEOs, or senior executives managing multiple businesses or business units.
Strong organizational, project management, and multitasking skills with the ability to manage competing priorities.
Excellent written and verbal English communication skills.
Experience managing executive calendars, travel, meetings, and confidential communications.
Financial acumen with experience in budgeting, expense management, invoice processing, or financial reporting.
Advanced proficiency in Microsoft Office Suite and Google Workspace.
Highly proactive, resourceful, and solutions-oriented with the ability to think strategically and work independently.
Ability to thrive in a fast-paced, entrepreneurial environment with changing priorities.

Preferred Skills/expertise

Experience supporting executives across multiple industries or business portfolios.
Experience preparing investor presentations, business proposals, and executive-level reports.
Strong presentation design skills using PowerPoint, Google Slides, Canva, or similar tools.
Experience implementing operational systems, workflows, and process improvements.
Knowledge of project management platforms such as Asana, ClickUp, Monday.com, Trello, or similar tools.
Exceptional stakeholder management, critical thinking, and decision-making skills.
High level of professionalism, discretion, and emotional intelligence when working with confidential information.
