Practice Assistant (Remote - Hybrid)

Work Setup: Hybrid (Required to complete 3–4 weeks of onsite training in Makati)

Key Responsibilities

Provide comprehensive administrative and executive support to assigned global stakeholders.
Manage complex calendars, appointments, and meeting scheduling across multiple time zones.
Oversee email management, draft professional correspondence, and handle meeting logistics.
Coordinate complex domestic and international travel arrangements, accommodations, and detailed travel itineraries.
Prepare, organize, format, and maintain legal documents, reports, and administrative records.
Facilitate virtual meetings, manage video conferencing links, and coordinate room/tech requirements.
Support day-to-day operational priorities and streamline administrative workflows.
Build and maintain collaborative working relationships with internal teams and external global stakeholders.
Uphold strict confidentiality and discretion when handling sensitive business and legal information.
Perform ad hoc administrative and coordination tasks as assigned by practice leadership.

Qualifications

Bachelor's degree in any field (preferred).
At least 1 year of experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, or in a similar support role.
Prior experience supporting senior leaders, partners, or corporate executives is a strong advantage.
Experience in a Shared Services, BPO, or multinational corporate environment is highly preferred.
Excellent organizational skills with proven time-management ability in a high-volume setting.
Strong written and verbal English communication skills suitable for a global corporate client base.
Advanced proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint) and modern virtual collaboration tools (e.g., MS Teams, Zoom).
High attention to detail with the ability to prioritize tasks and meet tight deadlines.
Capability to work independently and maintain high productivity in a remote setup.
Willingness to undergo 3–4 weeks (up to 1 month) of mandatory onsite training at our Makati office.
Flexibility to work across various shift schedules (Day, Mid, or Night) based on business and stakeholder needs.
